MINUTES OF THE PTA GENERAL BODY MEETING HELD ON 20-11-17

 

1.      Welcome to the members of the PTA.

The members were welcomed by the Principal and warm greetings extended for the Second General Body meeting of the Parent Teachers Association.

2.      Information about the change of some members of the PTA Executive Body.

The new members of the PTA executive Committee are introduced to the members of the PTA.

3.      Invitation to the lady members to join PTA Executive Body and serve the Committee.

It is informed to the members that there is one vacancy in the PTA due to the transfer of child of the Executive Committee member Mrs. Madhavi Reddy. Lady parent members are requested to come forward and serve the PTA. Accordingly, three parent members have submitted their willingness. The name of one of the three members will be finalized after following due procedure.

4.      Academic activities going on in the Vidyalaya. Plan for the full academic year.

i)                    Sports and games have been conducted for the secondary students and participants for the KVS National Sports Meet have been finalized.

ii)                  Children have participated in Science Congress, Social Science Exhibition, Tritiya Sopan Testing Camp and various other competitions conducted by KVS.

iii)                First Term examinations and tests have been conducted for the children of classes 3 to 8. Pre-Mid, and Mid-term tests were conducted for the classes IX & X. Unit tests and Half Yearly exams were conducted for class XI.

iv)                Monthly tests are conducted for class XII and the details of performance and the attendance of the children are being sent to KVS Regional Office on a monthly basis for review.

5.      Transfer & posting of regular teachers and appointment of Contractual Teachers for the session 2017-18.

The members have been informed that 16 Teachers have joined on direct appointment and 2 teachers have joined on transfer. The total number of regular teachers is now 35. Contractual Teachers are appointed wherever there is a vacancy. Advertisement was given five times to get a qualified Hindi TGT.

6.      Conduct of open day on 30-11-2017 for showing the answer papers of term end exam for the classes 3 to 8. Invitation for the parents of other classes to come and see the answer papers of any test any time between 2-40pm 3-40pm during the session.

The members have been informed that open day is planned for 30-11-2017 for showing answer papers and the progress report card for the first term for classes I to VIII. The parents are also requested to come and discuss about the progress of their ward any time on any working day between 2-40pm 3-40pm. It was also informed to the that the parents are allowed to meet the Teachers on the last working day upto 1-30pm.

7.      Entry in the register at the main gate before meeting the Principal. Collecting permission slip from the Principal before meeting the teachers. No parent is allowed to directly meet the child or the teacher in the class without permission from the Principal.

The parents are requested to make entry at the main gate before entering the school campus and meet the Principal before meeting any teacher. It is necessary to collect permission slip to meet any Teacher. Parents are requested not to meet any teacher directly without the permission of the Principal.

8.      Uniform defaulters and late comers to the school. Action to be taken by the Principal.

The parents are requested to send the children on time to school with proper uniform. It was brought to the notice of the parents that a good number of students are either coming late to the school or coming without proper uniform.

9.      Fee payment within the time to avoid late fee fine and removal of the name of the child from the Register.

The parents are requested to pay the fee before the last date to avoid fine. It was also informed to the parents that the Vidyalaya is sending the message about fee dates through various sources such as oral information to students, sms and through the student diary. There is announcement every day during the fee dates.

10.  Role of parents in improving the performance of children and need to monitor the activities of children.

The role of the parent in shaping the child is very important and challenging. It is necessary that the Parent talks to the child after reaching home from school to know what activities have been carried out in the school. It is also important that the parent monitors the activities of the child after schools hours, so that he/she does not involve in unnecessary issues and spends most of the time on studies.

11.  Grievance Redressal mechanism and cooperation of parents in smooth running of school.

The parents were informed about the grievance Redressal Mechanism followed by the school. The parents were informed about the availability of Complaint Book/Grievance Book for recording the grievances/complaints. The parents were requested to go through the steps involved in the grievance redressal mechanism.

12.  Effective use of student diary for communication with teachers and teachers.

The parents have been requested to use the diary as a medium to communicate with the school. It is also brought to the notice of the parents that the Teachers are regularly sending message to the parents through the diary.

13.  Meeting the teachers on the last working day of every month between 12-30pm to 1-30pm and general visiting hours of the school from 10-00am 11-30am.

The parents have been given the information about the visiting hours of the Vidyalaya and requested them not to come to meet the Principal during other time, unless it is an emergency.

14.  Any other point with the permission of the Chair.

i)                    One of the Parents has given a complaint that the children in class III are fighting and using bad words regularly.

The parents were assured that the problem will be addressed immediately.

ii)                  The parents have expressed about the difficulties in Hindi and Sanskrit in classes VII and VIII.

The parents were informed about the difficulty in appointing Contractual teacher for Hindi. It is brought to the notice of the parents that the post could be filled after conducting interview for fifth time. The teachers are attending to the issues and problems. Normalcy will be restored in 10 to 15 days.

iii)                One of the parents has expressed that the home work in Maths is not checked regularly.

The matter was brought to the notice of the Mathematics Teachers and they were asked to see that the checking is done regularly.

iv)                One of the parents suggested to the PTA that the auto numbers, name of the auto driver, the route and the number of children the auto is carrying may be collected for providing counseling to the auto drivers.

It is also suggested that information about the first trip and second trip may also be collected to control the movement of the students before and after school hours.

v)                  One of the parents requested for starting bus facility for the students.

The Executive Committee members and the Principal expressed the difficulty in arranging the buses and informed the parents that it is not feasible to start buses. It was also informed to the parents that all earlier attempts to get the bus facility failed and there is reason the start the process again.

vi)                Arranging Barricades on the bypass road at the arch for one hour in the morning and one after the school hours.

It was decided by the PTA that a letter will be sent to Traffic Police to get the Barricades arranged on the Bypass Road near the Shirdi Sai Nagar Arch for smooth passage of traffic during the school time.

vii)              Request for change of school timings.

It was informed to the parents that the school timings may be changed from 8-30am start to 8-00 am start if there is consensus among the parents. No consensus arrived at hence there is no change in the school timings.

viii)            One of the parents requested for controlling the movement of the auto’s near the school by making oneway.

It was decided to make an attempt to control the auto movement by making oneway provision near the school.

ix)                The parents of the children in Primary classes requested for helping the children complete their food during the recess time.

The parents were informed that the Ayammas are already taking care of this work and will be informed to them once again to care.

x)                  PTA meeting for class X.

The parents were informed that the PTA meeting for class X will be conducted on 30-11-2017 at 9-00am.

xi)                Uniform defaulters and late coming to the School.

The parents have been informed that good number of children are coming late to the school and some are coming without proper uniform. The parents are requested take care of this and see that the children come to school in time and with proper uniform and avoid inconvenience to the school.

xii)              Improvement of spoken English of children.

The parents have requested the Principal to see that spoken English of the children is improved.

xiii)            One of the parents complained that the children are asked to go to Internet Centre for collecting some information and complete the home work/project work.

It is brought to the notice of the parents that, very rarely the children are given work related to surfing the internet. Internet is available in the school and the children are allowed to collect the information required in the school itself.

15.  Vote of thanks.

MINUTES OF THE PTA EXECUTIVE COMMITTEE MEETING HELD ON 6-11-17

 

1.      Welcome to the members of the PTA.

The members were welcomed by the Principal and warm greetings extended for the first meeting in the academic year 2017-18.

2.      Academic activities in the Vidyalaya.

The following academic activities have been conducted during the period from 1st April.

i)                    Sports and games have been conducted for the secondary students and participants for the KVS National Sports Meet have been finalized.

ii)                  Children have participated in Science Congress, Social Science Exhibition, Tritiya Sopan Testing Camp and various other competition conducted by KVS.

iii)                First Term examinations and tests have been conducted for the children of classes 3 to 8. Pre-Mid, and Mid-term tests were conducted for the classes IX & X. Unit tests and Half Yearly exams were conducted for class XI.

iv)                Monthly tests are conducted for class XII and the details of performance and the attendance of the children are being sent to KVS Regional Office on a monthly basis for review.

3.      Change in the evaluation system from CCE to Board examination for class X and changes in the pattern for all the classes from III to IX.

The Members have been briefed about the change in the examination and evaluation pattern. The change from CCE pattern to Examination system was explained to the members.

4.      Pass criteria for classes IX and X with the new system of examination and evaluation.

The members have been provided with the information about the pass criteria in classes IX & X. Each child is supposed to get 33% in the internal assessment for 20 marks and also in the Board Examination for 80 marks.

5.      Conduct of study camps for classes X and XII.

Study camps have started for students of classes X & XII. All the children are attending the study camps. During the study camps, time is devoted for completion of syllabus, remedial teaching, revision and study hours. During the study hours the teachers are also requested to discuss sample question papers.

6.      Fee collection through UBI portal.

The members were informed about the difficulty in receiving the fee from the parents. It has been brought to the notice of the members that 157 students have not paid the fee after the due date. The parents are not responding to the calls from the parents. The parents are not checking the information sent through the diaries of the children.

The members were also informed about the number of BPL parents and financial condition of the Vidyalaya. It was informed the members that many programs have not been conducted due to paucity of funds. The members felt the need to stop giving the BPL concession. It was felt that instead of BPL concessions, the needy children may be given fee concession as per KVS provisions.

7.      Swachh Vidyalaya and Swachhate Seva initiatives by the Vidyalaya.

The Vidyalaya is promoting Swachh Vidyalaya concept and requests the members to spread the message and cooperate in maintaining the campus neat and clean.

8.      Issue of Identity cards to all the children.

The members were informed that ID cards have been issued to all the students. ID cards will be issued to teachers shortly.

9.      Initiative by the PTA Executive Committee for Approach Road work.

The members were requested to take initiative to get the approach road work completed at the earliest.

10.  Proposal for conducting PTA General Body Meeting.

It has been decided by the members that the general Body of the meeting PTA be conducted during this month and accordingly, it was decided to conduct the PTA general Body meeting on 20-11-2017.

11.  Any other point with the permission of the Chair.

The parents have brought the following points to the notice of the Principal and requested the Principal to consider.

i.                    Mr Ch. Dayakar, Secretary suggested that during the study camps children may be provided with model answers, sample questions, ideal answers for important questions and tips on making/preparing best answer.  It was felt by the members that the children are to be provided with the techniques of writing/organizing good answers.

ii.                  Mr. Sondhumiya, Vice President raised the issue and the necessity of improving the quality of teaching of Mathematics in middle classes and class IX. The Principal informed the members that the issue will be addressed by the school and the requested the members that there is need from the child’s side to practice as much as possible to be good in Maths.

iii.                The members have asked the Principal to send sms to the parent to remind them to pay the fee. It was agreed by the Principal that sms will be sent to all the parents in the beginning of the month in which fee is due.

MINUTES OF THE PTA GENERAL BODY MEETING HELD ON 25-06-16

 

13.  Welcome to the members of the PTA.

The members were welcomed by the Principal and warm greetings extended for the first General Body meeting of the Parent Teachers Association.

14.  Transfer & posting of regular teachers and appointment of Contractual Teachers for the session 2016-17.

The members were given the details of the transfer of teachers and posting of teachers on regular basis and on contractual basis after following due procedures as laid down by KVS. It was informed to the members that there are 23 contractual teachers working in the Vidyalaya and the number of regular teachers is---. The members were assured that the newly joined teachers will be trained internally by the Senior teachers and Principal to make them aware of KVS procedures and competent in curriculum transaction.

15.  Role of parents in improving the performance of children and need to monitor the activities of children.

The role of the parent in shaping the child is very important and challenging. It is necessary that the Parent talks to the child after reaching home from school to know what activities have been carried out in the school. It is also important that the parent monitors the activities of the child after schools hours, so that he/she does not involve in unnecessary issues and spends most of the time on studies.

16.  Grievance Redressal mechanism and cooperation of parents in smooth running of school.

The parents were informed about the grievance redressal mechanism developed/followed by the Vidyalaya. The parent needs to submit the grievance in writing to the Principal and receive an acknowledgement for the same. The parent will receive the reply/action taken report from the Principal within a week’s time.

17.  Effective use of student diary for communication between teachers & Principal and parents.

The members were briefed about the importance of communication between teachers and parents and the role of student diary in facilitating this communication. It was also informed to the parents that the diary contains lot of information about various activities in the Vidyalaya including admission process, promotion policy, holidays list, calendar of activities etc.

18.  Meeting the teachers on the last working day of every month between 12-30pm to 1-30pm and general visiting hours of the school from 10-00am 11-30am.

The members were informed that the Vidyalaya will conduct class wise parent teacher meetings on a regular basis apart from one General Body meeting in an academic year. Other than the scheduled meetings conducted, the parents may use the last working day of the month to meet the teachers. The visiting hours on the last working day will be between 12-15 pm to 1-30pm.

19.  Setting up PTA Executive Committee for effective monitoring of the functioning of the Vidyalaya.

It has been decided by the Vidyalaya to set up PTA Executive Body as per the guidelines of KVS. The Chairman, VMC will be nominating the members of the PTA Executive Body. The members interested to be nominated to the Executive Body of the Parent Teacher Association may submit their names to the Vidyalaya.

20.  Fee concession granted to the parents belonging to BPL.

The parents were informed about the fee concession given to the parents in the name of Below Poverty Line. The parents were asked to produce BPL card to get the fee concession and not the BPL certificate. As per the provisions of KVS and the directions of Govt of India BPL families have been given the facility fee concession. The Principal requested the parents not to misuse the provisions. It was also brought to the notice of the parents that the Vidyalaya is not in a position to take up all the activities that are normally going on in City KVs. Appointment of Doctor, Academic Counselor, Yoga teacher, Special Teacher for differently abled children could not be taken up. Various activities that are mandatory are not taken up in K V Khammam. Infrastructure development has taken a beating due to shortage of funds. It was appealed to the parents to pay the fee by those who afford it.

21.  Any other point with the permission of the Chair.

The parents have brought the following points to the notice of the Principal and requested the Principal to consider.

iv.                Feasibility of running TSRTC Buses from city to the school in all important routes.

v.                  Continuation of fee concession granted to the families having BPL certificates.

vi.                The teachers may concentrate on the children sitting on the back benches, so that they will be able to do well in academics.

vii.              Significance and effective use of PTA in smooth running of the Vidyalaya.

viii.            Improving the faculty position by appointing regular teachers.

The Principal assured the parents that steps will be taken to see that the parents, children and public will be given due importance and improvement will be there in academic performance of the students.
